Depending on how you use the Service, we may collect:

  • Vehicle registration numbers you submit
  • Email address (for premium report delivery and retrieval)
  • IP address, device/browser information (user agent), and basic log data
  • Payment confirmation metadata (payments are processed by Stripe; we do not store full card details)
  • Referral source/UTM parameters (where available)

Note: We do not intentionally collect special category data (e.g. health, biometrics, political opinions).

2. How we use your information

  • To provide the Free Check or Premium Report you request
  • To send transactional emails (e.g. report access code, receipt, support replies)
  • To maintain platform security, prevent fraud and abuse, and diagnose issues
  • To improve site performance and user experience (analytics where enabled)
  • To comply with legal and accounting obligations (where applicable)

3. Legal basis for processing

We process personal data under the UK GDPR using one or more of the following lawful bases:

  • Contract — to deliver the Premium Report you purchase or services you request
  • Legitimate interests — security, fraud prevention, and improving the Service
  • Consent — where you explicitly opt in (e.g., certain cookies/analytics depending on your setup)
  • Legal obligation — where we must retain certain records

4. Who we share data with

We may share limited personal data with trusted third parties only where necessary to provide the Service:

  • Stripe — payment processing (PCI-compliant)
  • Email provider(s) — to send report links/transactional emails
  • Vehicle data providers (e.g. Vehicle Data Global) — to retrieve premium vehicle information
  • Hosting/security providers — to run and protect the website (hosting, firewall, monitoring)

We do not sell your personal information. We only share what’s needed to operate the Service.

5. Data retention

We retain personal data only for as long as necessary:

  • Free checks: typically up to 30 days (for troubleshooting and abuse prevention)
  • Premium reports: typically up to 30 days for access via code and support
  • Payment-related records: may be retained up to 6 years where required for accounting/tax compliance

6. Your rights (UK GDPR)

You may have the right to:

  • Request access to personal data we hold about you
  • Request correction of inaccurate personal data
  • Request deletion (where applicable)
  • Object to processing or request restriction (in certain circumstances)
  • Withdraw consent at any time (where processing is based on consent)
  • Lodge a complaint with the UK Information Commissioner’s Office (ICO)

To exercise your rights, email us at support@carcheck360.co.uk. We may ask for limited information to verify your identity.

7. Cookies and tracking

We may use cookies and similar technologies to maintain sessions, improve performance, and understand usage. You can control cookies through your browser settings.

  • Strictly necessary cookies (e.g. session cookies)
  • Analytics cookies (only if enabled/consented depending on your configuration)

8. Data security

We use appropriate security measures including HTTPS, access controls, and monitoring. However, no online service can be guaranteed 100% secure.

9. International transfers

Some service providers may process data outside the UK. Where this happens, we use appropriate safeguards (such as contractual protections) to help protect your information.

10. Children

This website is not intended for children under 16. We do not knowingly collect personal data from children. If you believe a child has provided personal data, contact us and we will remove it where appropriate.

11. Access code security

Premium reports can be retrieved using a unique access code. Keep your code secure. If we detect misuse (sharing, resale, automated abuse), we may revoke access.

12. Automated decision-making

We do not use personal data for automated decisions or profiling that produce legal or similarly significant effects. Any vehicle insights are informational only.

13. Changes to this policy

We may update this Privacy Policy from time to time. The latest version will always be available on this page. Continued use of the Service after updates means you accept the updated policy.
